SUPERVISORY MEDICAL SUPPORT ASSISTANT

The primary duty of this position is to supervise all activities of subordinate medical clerks. This includes the effective selection, training, and utilization of assigned staff as well as serving as the subject matter expert to all medical clerks. This includes coordinating schedules and assignments with ward supervisory staff and Lead Medical Clerks and making adjustments as needed. Incumbent will serve as preceptor for Medical Clerks released from training, make decisions on leave requests, gather input from MSA's to evaluate performance of medical clerks in the pool as well as provide input to Chief of Staff or designee on the performance of medical clerks on the units, serve on Medical Center Committees as needed, and prepare various reports in area of expertise. Supervises a staff of employees to accomplish the work of the organizational unit. Exercises supervisory authorities and responsibilities involving work assignment and review, as well as the administrative and personnel management functions relative to the staff supervised. This position is responsible for the supervision of the Primary Care and Specialty Service Scheduling Center otherwise known as Team Access, which provides Medical Support Assistants to work on various scheduling for appointments in all specialty clinical areas, management of Consults, RECALL, EWL, or VCL in both Primary Care and Specialty Clinical areas. The work directed is clerical in nature and supports the care and treatment given to patients, such as negotiating appointments, contacting patients from Consults, RECALL, EWL, or VCL lists, communicating with specialty clinical areas regarding appointment needs for Veterans needing access to care at CAVHS. The work directed facilitates the work of others in the immediate organizational unit responds to specific requests or needs of individuals or affects only localized functions. The position is accountable to a position that is two levels below the first (i.e., lowest level in the chain of command) SES, or equivalent, or higher level position in the direct supervisory chain. Experience. Six months experience of clerical, office, customer service , or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, Education. One year above high school; OR, Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. English Language Proficiency:
MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j. Grade Determinations:
Supervisory Medical Support Assistant GS-7:
Experience. One year of experience equivalent to the GS-6 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting. Assignment:
Supervisory MSAs plan and direct programs at medical centers and/or satellite outpatient clinics and have full supervisory responsibility. Assignments at this level include, but are not limited to:
assigning and evaluating the work of subordinate MSA staff; resolving complex problems to ensure patient services are met; evaluating new products, equipment, and systems to make recommendations for improved clinic operations; identifying educational or training needs; making final decisions on hiring selections; evaluating performance, and taking disciplinary action when necessary. The employee has full administrative and professional responsibility for planning and directing the MSA's activities. For all assignments above the full performance level, the higher-level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent at least 25% of the time. Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate all of the KSAs below:
i. Ability to provide the full range of administrative and supervisory duties in a patient support setting, which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. ii. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. iii. Ability to provide briefings, orientations, staff development, and training related to administrative functions in a patient support setting. iv. Ability to delegate authority, evaluate and oversee people and programs, accomplish program goals, and adapt to changing priorities. References:

Work requires some walking, standing, and bending, although it is considered primarily sedentary. Periods of sitting may be required for typing and data entry. Walking to various locations of the medical center with records of patients, consultations, supplies, etc. is necessary.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
